Partnership application privacy

Updated 1 November 2026. Version partnership-applications-2026-11-01.

Who handles your information

James Swift operates AI Game Collective under LagunaForge. Contact partnerships@aigamecollective.com about your application or privacy rights.

What we collect and why

We collect the business contact, product and proposal information you submit to assess and respond to enquiries. If discussions progress, we request relevant legal identity, offer, rights, support and data-handling details. We keep application revisions, private documents, correspondence, review decisions and agreement execution records.

Our basis for evaluating business enquiries and keeping necessary correspondence is our legitimate interest in operating the partnership programme, proportionate to the information involved. Where applicable, records may also be necessary to take requested steps towards a contract, perform an agreement or comply with legal obligations. Acknowledging this notice is not consent to marketing. No newsletter or partner mailing list enrolment follows from applying.

Private access and processors

Your email confirmation link opens a private application session for up to 24 hours. Tokens expire and are stored in hashed form; pending email links and application content are encrypted in our records. Essential session cookies allow you to save and return. Cloudflare provides website delivery, Turnstile abuse checks, private D1 and R2 storage, and email sending and routing. These services process connection and message information to operate the application and help prevent abuse. Email recipients and their providers also process correspondence we send.

Your application is available to designated partnership administrators, not ordinary site members, external communities or other applicants. We may disclose relevant material to professional advisers under appropriate duties or where legally required. Do not submit passwords, API keys, bank details, identity documents or unnecessary personal information.

Documents and email

Documents are stored privately and downloaded through authorised application routes. They are not automatically malware-scanned. Incoming email attachments are not imported; use the secure document upload when requested. Incoming email is correspondence, not a login credential or an automatic signature or approval.

We use service emails for confirmation and application discussions. We do not add advertising pixels to these messages. Email provider acceptance does not prove inbox delivery.

Retention and removal

Unconfirmed applications are deleted after 24 hours. Expired confirmation tokens and sessions are cleaned up. Unassigned incoming email is removed after seven days. Necessary quota records are kept for up to 62 days.

Verified applications and correspondence remain available while discussions or agreements require them. Closed cases are reviewed for continued necessity, including legal, tax and dispute obligations; retained cases can be placed on a legal hold. Ask us to correct or remove unnecessary information. Deletion of current records does not immediately remove provider backups, which follow their expiry processes. We do not promise indefinite document hosting.

Your rights

You can download your application record and its shared documents from your private workspace. You may request access, correction, erasure or restriction where applicable, object to processing based on legitimate interests, or complain to the UK Information Commissioner's Office. Some records may need to be retained to meet legal obligations or establish or defend legal claims.

Cloudflare's global services and email delivery may involve international processing. We assess relevant processor and transfer arrangements before public release or material changes. This preview is not a claim that every international legal review is complete.
